The final quarter of the year is often hectic. By tackling your event planning now, you’re freeing up valuable time later when you’ll likely need it most. Plus, you'll have more flexibility to adjust; if unexpected changes occur, you have time to pivot without major disruptions.
Your Event Game Plan, Step by Step
You want to set a strong foundation for your end-of-year event, whether that’s a Christmas party, an awards ceremony or a corporate conference. The below approach allows ample time for creative development, thorough research, and thoughtful decision-making, ultimately leading to a more polished and successful event.
Here’s what you should be doing in July to ensure your Q4 events are a resounding success:
Get back to basics
As with any event, the first step to success is having clear objectives. What do you want to accomplish? Is it team bonding, client appreciation, or celebrating yearly achievements?

Get creative
With the pressure of imminent deadlines off your shoulders, you have the luxury of time to brainstorm unique ideas. This is the fun part, but it still requires structure.
Assemble a planning committee with clear roles and responsibilities; if you can, make this task force as diverse as possible, so you get fresh perspectives through the planning process.

Spend some time considering how you can reduce the environmental footprint of your event. Can you choose eco-friendly vendors? Are there waste reduction strategies you can implement, like digital badges? Can you limit travel? Are there materials you already have that can be repurposed?
Finally, but very importantly, assess any technology requirements for your event, such as audio-visual equipment or event apps. These can make an event go very smoothly or feel clunky and awkward. Know your tech, and use it wisely.
